PRIVACY STATEMENT
FRIS processes personal data of its customers, prospective customers and other contacts. This privacy statement explains which data is processed by FRIS and when, why, and how it is processed.
When does FRIS collect data?
This privacy statement applies to the processing of personal data provided by our customers, prospective customers and other contacts, as well as to data obtained when applying for and using our services, or visiting our website. We furthermore collect data when you subscribe to our newsletter, request information, ask a question, respond to our website, or contact us in any other way.
Which data does FRIS process?
FRIS collects contact details such as: name, address, telephone number, email address, date of birth, bank particulars, and data relating to the use of our services. We also file the contact history, for instance when you ask our customer service a question. If you use our helpdesk, we will have your contact details and we may save the content of the conversations to allow us to be of better service in the future and to improve our own provision of information.
Why do we process data?
FRIS processes personal data to improve its services. FRIS, as a residential estate and commercial property agent, processes personal data of both buyers and sellers of residential houses. Being an agent, FRIS requires data to be able to advise on the purchase of a new house. As an independent property manager, FRIS processes contact details of private and institutional investors. When applying for a valuation or an inspection, personal data has to be processed. When carrying out a valuation, FRIS will anonymise any personal data of lessees. The insurance service of FRIS processes financial and other personal data when taking out insurance, composing a personalised policy package, or sending all insurance options.
We also process personal or other data when you contact us, or ask us a question.
Offer
FRIS sends updates by email about the current offering in houses and offices in Amsterdam and the Zaan region. You can easily unsubscribe from these mailings by the unsubscribe link in each e-mail.
Valuations
If laws and legislation change, subscribers will receive email updates on this from FRIS Taxaties. If you no longer want to receive those updates, simply indicate this by ticking the appropriate box included in each email.
Research
Our knowledge centre – FRIS Research & Consultancy – monitors the residential property market, target groups, trends, and strategic developments, as well as connects and inspires private, public and business customers in the property market. Due to the constant collection of big data, FRIS can ensure customers a strategic advantage and objective assessment through its well-founded market analyses, extensive research and to-the-point advice.

Foundation FRIS For Children
As not everybody has a careless childhood in a pleasant environment, where children can play, develop, learn, and grow up into adulthood with confidence, FRIS established the foundation FRIS Voor Kinderen (FRIS For Children) in 2015. Each year, FRIS raises money for this foundation. Twice a year, we inform our sponsors and interested parties by email on how the money is spent. Third party recipients
FRIS uses systems or services from third party suppliers and as such these suppliers may also have access to the data of our customers. Some of our suppliers are established in the US. These parties are certified under the EU-US Privacy Shield or have contractual arrangements on a suitable level of security with us. FRIS does not sell any personal details to third parties.
Job application
If you decide to apply for a job with FRIS, your details will be confidential. If you do not get the job, we appreciate your interest in FRIS and inform you by email of this and of the fact that we will remove your application and personal details.
If, after a job interview, you turn out not the best suitable candidate, we will also remove this information from our records. If you could be of interest to us in the future and we would like to keep your details on file, we will ask your permission to do so.
Your rights
You have a number of rights under the Act on the General Data Protection Regulation (GDPR). For instance, you can request that FRIS allows you to see which personal data of yours we process. We will also indicate how and why we collect this data. If FRIS processes incorrect or incomplete information, we will adjust this at your request. You can also ask that your data be removed. FRIS may be required to process the data for administrative, tax, or other purposes. If you think that we process your personal data unlawfully or incorrectly, you may request that we restrict the processing of your information to the extent possible. You may also object against us processing your personal data for marketing or other purposes. A new right under the GDPR is the right to data portability. You may request that FRIS transfers your personal data. Finally, you can always withdraw your permission to receive the newsletter or other processing operations.

If you think that FRIS does not comply with the privacy legislation or you have comments or questions, we would like to be the first to be informed. As from 25 May 2018, you can also lodge a complaint directly with the Dutch DPA (‘Autoriteit Persoonsgegevens’).
Security
FRIS has taken appropriate technical and organisational action as well as monitors and secures all of its services either visibly or invisibly against abuse and fraud. FRIS uses third parties for the provision of its services. Insofar as these third parties process personal or other data to provide these services, they do so in their capacity as processor. The processor in question of course receives only the necessary data, is contractually obliged to use a suitable level of security and is to handle the personal data with care. Moreover, personal data are kept no longer than is required.

COMPLAINTS PROCEDURE
FRIS guarantees the high quality of our services. The satisfaction of our customers is extremely important for us. Following from our quality assurance, if you are not satisfied with our services, you are kindly requested to file a complaint. We will do everything in our power to handle your complaint to your satisfaction. By filing a complaint you will also help us further improve our work processes and services and thus to prevent your dissatisfaction in the future.
FRIS has the following procedure for filing a complaint. We handle all complaints in the same way.
1. Please first notify the person concerned that you are not satisfied.
Always notify the person who has provided you with the service that you are not satisfied. Our staff have been instructed to let you know immediately how they will handle your complaint.
2. File your complaint in writing:
If no oral agreement is reached, you should then file a complaint with FRIS. Your complaint must be clearly described and your point of view must be clearly set out. Please also submit the relevant copies and documents as far as necessary to clarify your complaint. Anonymous complaints are not dealt with. At FRIS, as compliance officer, Mr M. Poelmann is responsible for supervising the observance of the complaints procedure. In case a complaint is submitted regarding the compliance officer or a file involving him or in which he is involved, or in case of his absence, Mr H.P. Fris will act in his place.
3. Handling complaints procedure:
Within a week of the receipt of your complaint we will send you written confirmation of receipt. The confirmation will inform you who is handling your complaint and when the complaint is expected to be assessed.
During the procedure, the person handling your complaint may ask you for further information or a further explanation of your complaint. If necessary, the person dealing with your complaint will consult experts. After your complaint has been handled you will receive a reasoned response.
We aim to fully handle your complaint and notify you of the outcome within 28 days of its receipt. Due to the complexity of the files or the availability of certain persons, this term may not be feasible. In this case you will be notified of the progress made.
4. After your complaint has been handled:
We will do everything in our power to handle your complaint to your satisfaction. If you do not agree with the outcome or you have complaints about how your complaint was dealt with, you can submit your complaint to the Court of Arbitration for the Construction lndustry.
